How to Run A Successful Webinar in Six Steps or Less

Naturally, you should have a goal you want to achieve with a webinar. However, you still need to follow basic rules that will make your webinar a success. Below are six steps for running a successful webinar.

1. Plan Your Webinar

You must first figure out the purpose of organizing the webinars. Is it a form of advertisement for a service or product? Or a form of demonstration? Make the webinar worth the viewer’s time and again focus on solving problems by bringing value to the audience.

You need to set the date and time for the webinar. Days of the week, like Tuesdays, Wednesdays, and Thursdays are the best days to host a webinar. After setting your objectives, choose a catchy title that people will care about. Your planning process is not yet complete without a format. Choose a format. Whether the webinar is going to be a single/dual expert presenter, interview style, a panel of experts’ style, or a question and answer style, create the script and prepare visuals for the live presentation making it as precise as possible.

2. Market Your Webinar

You need to market your webinar. Create a maximum buzz about your webinar and market it to your potential audience. Marketing is never too early to start. Send messages advertising your webinar at least one month in advance and reminders two weeks before the event.

5. Run Your Webinar

This introduction is to tell your viewers the reason behind the webinar. Try to hook your audience with a compelling story. Remember, the main target of the webinar is to set up a connection with the audience.

To make your webinar dynamic and memorable, you need to foster active participation among your viewers. This happens when the audience can interact with the presenter instead of just listening. Ask them questions that can help them apply what they are learning. Also, be sure to create time and encourage your audience to ask questions at the end of the webinar. If the questions seem too complex, encourage the viewer to make contact after the show. 

6. Follow Up

After the webinar, get together with the production team and debrief. Make notes of the things you did right during the webinar and also where to make improvements and changes in subsequent ones. Track the results of the webinar. Check how many people signed up? Ask for feedback from your viewers about their interests and expectations. An effective way you can go about this is by sending thank you emails to your audience. The emails must contain the following:

  • Follow-up surveys – The survey is an opportunity to ask your viewers what they liked and things they did not like
  • A link to a PDF containing the webinar slides
  • Relevant publications and materials
  • Links to a recorded webinar
  • Advertisements for your future events
